Dogwood Policies
1. Rules
At Dogwood Tutoring & Test Prep, we are committed to creating a safe, respectful, and productive learning environment for all students, parents, and tutors. By enrolling in our services, you agree to follow these rules:
Respect and Professionalism – All students, parents, and tutors must treat one another with respect and courtesy. Disrespect, aggression, harassment, or any form of racism or sexism will not be tolerated.
Zero Tolerance for Threats – Any threats to the safety of our students, staff, or facilities will result in immediate termination of services and notification to law enforcement.
Privacy and Confidentiality – Protecting our students’ privacy is our highest priority. We will never share student or family information without prior written consent, except as required by law.
Honesty and Academic Integrity – Students are expected to be honest in their work and communication. Cheating or misrepresentation of effort is prohibited.
Punctuality – Students should arrive on time and prepared for each session.
Homework Completion – Students are expected to complete assigned homework before the next session.
Effort and Engagement – Students should give their best effort in learning, participate actively, and be open to feedback.
Payment Policy – Payment is due after each session. A valid payment method must be on file at all times.
Issue Resolution – Should any concerns arise, please email the Director with a detailed description of the issue. We will work to resolve matters promptly and fairly.
2. Procedures
Our goal is to provide a structured and transparent tutoring experience. Below is our standard process:
Tutor Matching – We carefully match each student with a tutor based on subject needs, learning style, and scheduling preferences. Per Tutor Match Guarantee policy, if you’re not satisfied with your tutor for any reason, your session will be free and we’ll promptly math you with a better fit.Â
Scheduling – After discussing your availability, we will propose a schedule. You must confirm the proposed schedule within 24 hours; otherwise, the time slot may be released.
Session Notes – Within 3–5 business days after each session, you will receive detailed notes from your tutor outlining:
What was covered during the session
Areas of progress and areas of difficulty
Homework assignments or recommended next steps
Invoicing & Payment – After notes are completed, you will receive an invoice detailing the session date, duration, and charge. The payment method on file will be automatically charged. Please notify us immediately if your payment information needs updating.
Rates for 2025–2026 School Year:
One-on-One Subject, AP, and IB Tutoring: $110/hour
One-on-One Test Prep Tutoring (ACT, SAT, SSAT, ISEE, etc.): $150/hour
Two Students Tutoring Session: 25% discount per session
Military, First Responders, and Teacher Discounts: 25% discount per session
Sliding Scale: Available on a case-by-case basis; please inquire at admin@dogwoodtutoring.com

Student Commitment – Success depends on consistency, preparation, practice and follow-through. Regular attendance and completed assignments are key to measurable improvement.

3. Cancellation Policy
We understand that schedules can change. To ensure fairness to our tutors and other students:

To cancel or reschedule a session without a fee, please notify us by 5:00 PM the day before your scheduled session. For Sunday and Monday sessions, cancellations must be made by 5:00 PM on Friday.
Late cancellations and no-shows will incur a cancellation fee. For first-time cancellations, a fee equal to 50% of the session cost will be charged. All subsequent late cancellations or no-shows will incur the full session fee
In the case of illness, scheduling conflicts, or transportation issues, we recommend switching to a Zoom session to maintain consistent progress and avoid cancellation charges. You can find your tutor's Zoom Room info here:Â https://dogwoodtutoring.com/tutors
Tutors can discuss scheduling but cannot make schedule changes. All changes must be confirmed through admin@dogwoodtutoring.com.
 It is the customer’s sole responsibility to communicate directly with the center’s director when a cancellation or other schedule change is needed. We will confirm all schedule changes promptly with a follow-up email.

4. Privacy Policy
Dogwood Tutoring & Test Prep respects your privacy and is committed to protecting it.
Information We Collect – We collect personal information such as your name, contact details, payment information, and educational records for the purpose of delivering tutoring services.
How We Use Information – To schedule sessions, process payments, track academic progress, and communicate with students and parents.
Information Sharing – We do not share your personal information with third parties without your explicit consent, except as required by law.
Data Security – We use secure systems to protect your information from unauthorized access.
Your Rights – You may request correction of or deletion of your personal information at any time by contacting us at admin@dogwoodtutoring.com.
5. Terms & Conditions
By using our services, you agree to the following:
Educational Outcomes – While our tutors are highly qualified and dedicated, we do not guarantee specific score improvements or grades.
Payment Terms – Payment is due immediately after each session. We reserve the right to suspend services for unpaid balances.
Website Use – All content on our website is owned by Dogwood Tutoring & Test Prep and may not be copied without permission.
Limitation of Liability – We are not liable for any indirect damages, academic results, or technical issues outside our control.
